Who we are

Cherwell District Council is the data controller for the personal information you provide as part of your application for food vouchers (funded by Oxfordshire County Council’s Household Support Fund). Our contact details are: foodvoucher@cherwell-dc.gov.uk

Lawful basis for processing

We process your data under Article 6(1)(e) of the UK GDPR (public task) and, where applicable, Article 9(2)(g) (substantial public interest) for special category data.

How we use your data

Your information will only be used for the purposes of:

  • Assessing your eligibility for a food voucher
  • Administering and monitoring the vouchers
  • Preventing fraud and ensuring compliance with voucher conditions
  • Reporting and research

What information do we collect?

We may collect the following information:

  • Name, address, and contact details
  • Date of birth
  • Household composition (number of adults/children)
  • Evidence of eligibility (such as benefit status)
  • Any other information needed to process your application

Why do we collect this information?

  • To check eligibility and prevent duplicate vouchers
  • To deliver your voucher (by email or post)
  • To meet our legal and regulatory obligations

Who do we share your information with?

  • The HUGGG platform (to deliver your voucher)
  • Relevant council departments
  • Oxfordshire County Council (for audit or reporting – personal identifiers and statistical data only)
  • Partner organisations involved in delivering the vouchers
  • Our IT and system providers (for secure data processing)

We do not share your information with any other third parties unless required by law. We will not share your information for marketing purposes.

How long we keep your data

We will retain your data for as long as necessary to administer the grant and comply with legal requirements, usually for 2 years after the end of the grant period. Reporting and research data may be retained for up to 6 years. We will delete your data securely once we have finished processing it.

Your rights

You have the right to:

  • Access your personal data
  • Request correction of inaccurate data
  • Request erasure of your data (where applicable)
  • Object to or restrict processing
  • Complain to the Information Commissioner’s Office (ICO)
