Property and investment privacy notice

Cherwell District Council own and manage property assets and to do so effectively they collect and process personal data relating to each of their tenants/occupiers.

The organisation is committed to being transparent about how it collects, uses and protects that data and meets its data protection obligations.

Personal information is defined as being any information about an individual from which that person can be directly or indirectly identified.

How we use your information collected by the service

The information you provide will be retained on file within the Property and Investment Team to be able to contact you directly where necessary to discuss your tenancy, occupancy, or management matters relating to buildings and/or land that the Council owns and you occupy or use.

Who will have access to my personal data?

The information you provide will be used by The Council and third parties/ organisations appointed by the Council purely in connection with the management of the properties owned by the Councils, including such things as compliance with lease covenants, negotiation of the terms of the tenancy and matters in connection with the ownership of the property. We may share this information with third parties/ organisations appointed by the Council for the aforementioned purposes where we are required to do so by law and/or as entitled to as part of the tenancy agreement. In other cases, we will obtain your written consent first before sharing any personal information with third parties.

What information is processed?

The information processed is primarily your name, address and contact details as part of the management of the Council’s property portfolio.

Retention period

Unless required for an ongoing investigation, the information provided will be retained for 12 months beyond the point that any legal contract expires or is terminated, after which time the information will be securely destroyed. Information retained for an ongoing investigation will be securely destroyed as soon as it is no longer required.
